Privacy policy
Last updated: October 23, 2026
This policy explains what personal information Kaine Ventures LLC (“we”) collects when you visit our website or use Plankbook, and what we do with it. Plankbook is a product name of Kaine Ventures LLC, a US limited liability company, which is responsible for the account and website data this policy describes.
Two kinds of data
Account and website data is information about you as our customer or visitor, such as your name, email and how you use the site. We decide how to use it, and this policy covers it.
Customer Data is what a company or household puts into Plankbook, including homeowner contact details, project photos and payment records. The company or household controls it. We process it only to provide the service, as our terms of service describe.
What we collect
- Account details: name, email, company or household name, address and role.
- Billing details: billing contact and payment information, which Stripe holds. We see only the card brand and last four digits.
- Usage data: pages you open, actions you take, device and browser type, IP address and country, used to run and secure the service.
- Homeowner decisions: when a homeowner accepts an estimate or approves a change order in a portal, we record the typed name and the time.
- Bid requests: the project description, location and contact details a household enters when it asks for bids.
- Directory listings: the trades, service areas, contact details, bio and registrations a pro publishes. Anyone can see a published listing.
- Waitlist: your email, whether you signed up for a home or a business, and your country, while accounts are not open yet.
- Messages you send us, including support requests.
How we use it
- To provide, secure and support Plankbook.
- To send a household's bid request, with its contact details, to up to 3 listed companies that match the project's location and type.
- To bill companies and send service email, such as invitations, portal updates, invoices and notices of changes.
- To send company owners setup tips and trial reminders while they start out. Every one of these emails has a link to stop them.
- To understand which features people use so we can improve them, using account and usage data only.
We do not sell personal information. We do not use Customer Data for advertising or to train AI models.
Who processes data for us
We use service providers for hosting and file storage, the database, sign-in, product analytics, email delivery, payment processing and optional AI features. They process data only on our instructions, and they store it in the United States. To get the current list of providers, email hello@plankbook.com. We give company owners notice before we add one that stores Customer Data.
Cookies
We use cookies to keep you signed in, to open a sample workspace without an account, and to remember your settings, such as light or dark mode. On our website, one cookie remembers for 90 days how you first found us (the referring site, campaign tags and a referral code, if any), and we store that with your company when you sign up. We do not use advertising cookies.
How long we keep data
- Customer Data: while your account is active, then 90 days for export after cancellation, then deleted as the terms describe.
- Sample workspaces opened without an account: 24 hours.
- Waitlist emails: until accounts open and we have told you, or until you ask us to remove yours.
- Account and billing records: as long as tax and accounting law requires, currently 7 years.
- Usage logs: 90 days.
Your choices and rights
You can update your account details in Plankbook. To ask for a copy of your personal information, or to correct or delete it, email hello@plankbook.com. If you are the homeowner on a contractor's project, contact that contractor, because it controls the project's information.
Users in the EU and UK
If you are in the European Union or the United Kingdom, we rely on these legal bases:
- Contract: to provide the service you signed up for and to bill for it.
- Legitimate interests: to secure the service, prevent abuse, understand which features people use, and send company owners setup tips, which they can stop at any time.
- Legal obligation: to keep tax and accounting records.
We and our subprocessors store data in the United States. Transfers rely on the EU-US Data Privacy Framework where the provider is certified, and on the European Commission's standard contractual clauses otherwise. You can complain to your local data protection authority. In Finland, that is the Data Protection Ombudsman (tietosuojavaltuutettu).
California residents
We do not sell personal information, and we do not share it for cross-context behavioral advertising. You can ask to know, correct or delete the personal information we hold about you by emailing us, and we will not treat you differently for asking.
Security
Our security page describes how we protect data and what we do not offer yet.
Children
Plankbook is not for children. We do not knowingly collect information from children under 13.
Changes
We will post changes here and email workspace owners before a material change takes effect.
